PUBLICITY COMMITTEE MEETING - MINUTES- JUNE 22, 1982 IN ATTENDANCE: Gerry DellaMattia, Ed Redmond, Ann Raffle, Julie Steele, Beth Bosshard, Julie Beaucaire, Marsh Price, Georgina Davis, Bill Bell, Pascale Best. l. Report from Opening Ceremonies Committee - from Ed Redmond A Committee is to be struck, with the recommendation that membership be as follows: One Board Member, two Deans, one member from Physical Plant, two faculty representatives, two student representatives and two staff. Only one volunteer had been identified thus far. Pat Thomasson, as the Physical Plant Representative. The Publicity Committee was later informed that Ann Raffle (staff) had also volunteered and that Julie Beaucaire (staff) was willing to have her name stand. It has been recommended to Bill Day and Senior Management, that November 19, 1982 (Douglas Day) be chosen as the date for the Opening Ceremonies. This recommendation is awaiting Senior Management's approval. A letter of invitation to the Premier of B.C., requesting and inviting his participation in the Opening Ceremonies, will be sent from Bill Day shortly. An Opening Ceremonies Committee meeting is scheduled to be called within the next two weeks. 2. Presentation on Computerized Mailing List System - from Marsh Price Marsh Price explained the finer details of the computerized mailing system, which is currently underway. A Data Flow Diagram was presented, explaining the data flow and mechanics of the system from the source through to the final output. The PIO office will be responsible for co-ordinating the data for this system. All areas of the College interested in having their mailing list on the computer have been requested to forward such a list to the PIO. 3. Report from the Public Information Office - from Bill Bell a) Media Tour and Press Conference: Although the turn-out was not as had been hoped (and confirmed), the tour and conference went quite well, and served its purpose. Beth Bosshard suggested that for future tours, someone with background and information as to the educational offerings aspect of the building, should accompany the member of Physical Plant conducting the tour. This would ensure provision of both structural and educational information about the building to those persons taking the tour. b) Douglas College Fall Magazine: The publicity committee was informed of the intent of the PIO to change the format of the magazine, due to cost restrictions (eg. mailing costs). The Committee was shown mock-ups of the artwork proposed for this new format, which will be similar to Life magazine's format, fewer pages than previously planned, semi-glossy cover and staple- stitched. The number of pages allocated to advertising will be approximately 40% of the overall magazine content. The advertising sales, on the part of Padriac Kennedy, have been very successful.
