ARCHIVES ‘Procedure for Presentation of Briefs to Douglas College Board The following guidelines for presenta- tion to the Douglas College Board have been discussed with the Board Chairman, and have been approved by Management Camittee. They will ensure open access to the Douglas College Board, while also ensuring that there is proper differen- tiation of role between advocacy groups and the Douglas College Administration. Advocacy Groups Staff, student, faculty, or community based groups may request, and shall be granted, audience by the Board. Prior to the meeting at which the group is scheduled, they will provide to the Col- lege a document which presents the substance of the presentation. This document will be provided to the Board with the regular Board package of mat- erials. The actual presentation time shall not exceed ten minutes except under extraordinary circumstances, at which time the Board Chairman will de- cide on the additional time required. The Board will not normally hear briefs fran interested parties where due pro- cess within the College is still occurr- ing or has not been followed. Constituent Bodies of the College Formal presentations to the Board by constituent bodies of the College, such as the Student Society, the Douglas/ Kwantlen Faculty Association, the BOGEU, the Educational Policy & Planning Caom- mittee, or the College Management Can- ittee, shall be made only on advance receipt of documents which substantially provide the necessary information. These documents will be circulated as part of the Board agenda package. Usu- ally, such presentations are made to the appropriate committee of the Board, which in turn reports/recammends to the Board. Actual presentation time shall not exceed ten minutes except under ex- traordinary circumstances, at which time the Board Chairman will decide on the additional time required. Administrative Presentations Presentations by administrators to the Board shall be in the form of documents circulated in advance of Board meetings, through or on behalf of the College President. These presentations will normally be made to the appropriate can- mittee of the Board, which in turn re- ports/recommends to the Board.
