INSIDE DOUGLAS COLLEGE / OCTOBER 30, 1990 POLICY ALERT e last time a complete copy of the College Policy Manual was given wide distribution was in 1985. Those of you who were here at that time will remember that the manual was divided into three sections. The front section, which was actually an employee handbook, has been removed from the manual, and is now provided to all new employees by the Person- nel Department. The remaining sections covered Educational Policy and Administrative Policy. Immediately upon the manual’s release and acceptance by the College Management Com- mittee, the College Education Committee, and the College Board, a complete review of all College policy was begun. There has been excellent progress to date. Most Educational Policies have been reviewed, and have either been accepted as they stood, or have been revised. Some new Educational Policies have been created. The same is true for Administrative Policies. All changes to the Policy Manual since November, 1985, have been announced — usually in "Inside Douglas College" (or the "Mad Hatter" in the past), together with copies of the new or revised policies. At this time, approximately 10 Educational Policies and 10 Ad- ministrative Policies are under review. This past summer, there was a modification to the College gover- nance system, which was imple- mented on September 1st. The entire policy manual has been reviewed and updated to reflect the changes. For example, refer- ences to "College Education Com- mittee" have been changed to read "Educational Council". You will be pleased to know that the complete, current policy manual is now available to you, at the touch of a button — or at least the touch of a key! No longer will you have to hunt for a policy ina binder or in a file cabinet. All you have to do is call the manual up through the College mainframe. You will be able to read any policy on the computer terminal, and print it if you need a hard copy. If you don’t have a terminal yourself, you can still access the Policy Manual through your Cur- riculum Field Base, or any other area with a terminal hooked up to the Data General. HOW? It’s easy! 1. LOG ON, using your PASSWORD, OR if you don’t have a password, ask those with access to the Data General for assistance. THEN: look at the MAIN MENU. 2. Press the "X" key for "Additional Programs". On the screen, you will see the following MENU: P... Policies S,oPss 2... $2020 E:.. Exit Enter Choice: Press "P" for Policies, then New Line. 3. You will be given 3 choices: (1) View Index/ Information Documents; (2) View Current Policy Documents; (3) Exit. To: (i). View Index/Information Documents: - Check the "Policy Alert" to see what policies are currently under review; - Refer to the "Policy Development Model" to review the rationale and protocols governing the writing of or revising of College policy; - Search the alphabetical or numerical index for Adminis- trative or Educational Policy. This will be helpful if you are not certain of the name or number of the policy. a) TO RETRIEVE any of the documents in this Menu, simply use the arrow keys to highlight the document, and press 1. The document will appear on your screen. THEN: b) TO PRINT the document document will not print. Then, press 0 to return to the main print menu. and select the 1 for "fy ll text" c) TO EXIT the document, press F7. You will be asked if you want to Save the document. Press N. (Do not try to SAVE policy in this program.) You will be asked if you want to Exit WordPerfect. If you want to look at more documents in this menu, press N, then the F5 key and New Line; you can now select another option from the menu. If you do want to Exit WordPerfect, press Y. This returns you to the previous menu. Press E for Exit & New Line to return to the previous menu, then E & New Line again to exit the "Additional Programs Menu"; then press the to reach the MAIN MENU. (ii). View Current Policy Documents. Press 2, then New Line/Enter key in order to: - Move right into the policy section itself. All Administrative Policy begins with the letter "A"; all Educational Policy begins with the letter "E". The procedure for printing and exiting are the same as above. (iii). Exit - use as described above. The manual is kept up to date automatically, as changes are ap- proved by the College Board. Remember, if you need assis- tance in accessing the Policy Manual, anyone familiar with the Data General can help.
